One-Way and Two-Way Sync Explained #

Items – One-Way Sync (QuickBooks Online → register)
Items flow from QuickBooks Online to register. This means you manage your product list in QuickBooks Online, and register automatically pulls that data in for selling. You cannot create or edit items in register — all changes must be made in QuickBooks Online.

Customers – Two-Way Sync (QuickBooks Online ↔ register)
Customers can be added or updated in either system. If you add a new customer in register during a sale, that customer will sync to QuickBooks Online. Likewise, edits made in QuickBooks Online will sync back to register.

Sales Transactions:
Sales completed in Register are automatically synced to QuickBooks Online. For each transaction, our app generates a general journal entry that:

  • Moves the asset value of sold items from inventory to your Cost of Goods Sold (COGS) account
  • Records the sales revenue to your designated income account
  • Applies the payment to either Undeposited Funds or a specific account you selected during setup

This seamless automation ensures your books stay accurate and eliminates the need for double entry.

Each transaction is associated with the customer who made the purchase. If no customer is selected at checkout, the transaction is tied to a default customer specified during your initial configuration.

For on account sales (when a customer chooses to pay later), the transaction is recorded as an invoice and tracked under Accounts Receivable in QuickBooks Online.

This hybrid approach keeps your workflows flexible and in sync with accounting.
