How to Create, Manage, and Leverage Customer Accounts with QuickBooks Online Sync #

From two-way, real-time QuickBooks Online syncing to detailed customer profiles and this guide walks you through the key features and day-to-day use of this easy to use point of sale system.

Selecting or Adding a Customer at the Point of Sale #

register’s checkout screen includes a Select a Customer smart search bar. This is your starting point for customer engagement.

To select an existing customer: #

  1. Click into the Select a Customer smart search bar.
  2. Begin typing the customer’s name, company, phone number, or contact info.
  3. Choose the matching profile from the dropdown list.

This search is two-way synced with your QuickBooks Online customer list, so what you see in register is always up-to-date with your QuickBooks Online account.

To add a new customer: #

  1. Click New Customer (located just below the smart search dropdown).
  2. Enter the customer’s information into the provided fields.
  3. Once saved, this new customer profile will be automatically added to QuickBooks Online through register’s seamless two-way sync.

For deeper management and visibility into your customer database:

  1. Go to the Manage Data dropdown at the top of the screen.
  2. Select Customers.

The Customer Panel provides:

  • A list of all customer accounts
  • Key contact info at a glance (phone, email, address)
  • Access to the customer’s full profile

To access the customer profile, hover and single click the customer line. From there you can view and edit the customer profile: #

  • Name and company
  • QuickBooks Online Display Name
  • Contact numbers (mobile, fax, alt. phone)

  • Billing and shipping addresses
  • Sub-customer status
  • Customer and payment type designations
  • Tax exemption details and default tax code
  • Notes or special requests

Viewing a Customer’s Sales History #

Need to reference a previous transaction?

  1. From the Manage Data dropdown, select Sales History.
  2. In the Select Customer to Search smart search bar, begin typing the customer’s name and select the correct profile.
  3. Their full transaction history will populate instantly.

Pro Tip: #

  • Red font indicates a return or refund on that transaction (single item or all items).
  • Click on any transaction to view full details including itemized sales and payment method.
