Location and Class Tracking Overview #

Location and Class tracking in QuickBooks Online and Intuit Enterprise Suite help businesses organize sales and financial activity in a more meaningful way. When connected to register by ability business, these tracking options can automatically assign sales transactions based on the workstation profile being used.

This allows retailers to separate reporting by:

  • Store location
  • Department
  • Sales channel
  • Event or booth
  • Product category
  • Business division
  • And more

Once configured, every transaction created from that workstation profile will automatically sync with the assigned Location and/or Class in QuickBooks.

Prerequisites #

Before enabling Location or Class mapping in register, the following must already be completed inside QuickBooks Online or Intuit Enterprise Suite:

QuickBooks Requirements #

Enable Location Tracking #

In QuickBooks:

  1. Go to Settings
  2. Select Account and Settings
  3. Choose Advanced
  4. Under Categories, enable:
    • Track locations
  5. Save changes

Enable Class Tracking #

In QuickBooks:

  1. Go to Settings 
  2. Select Account and Settings
  3. Choose Advanced
  4. Under Categories, enable:
    • Track classes
    • Select One to entire transaction
  5. Save changes

Create Your Locations and Classes #

After enabling tracking, create the Locations and/or Classes you want register to use under QuickBooks Online Lists.

In QuickBooks:

  1. Go to Settings
  2. Select All Lists
  3. Select Locations or Classes
  4. Add new and save

Example Locations #

Locations are commonly used for:

  • Multiple storefronts
  • Warehouses

  • Mobile retail units

Enable Location and Class Mapping in register #

Once QuickBooks is configured, you can assign Location and Class mappings inside the register admin dashboard.

Navigation Steps #

  1. Open register Dashboard
  2. Select the Workstation Settings tab
  3. Choose Manage Workstation Profiles
  4. Select the workstation profile you want to configure

Configure Location Mapping #

Under the dropdown for Location Mapping Settings:

Control how Location is mapped to your sales. All transactions created from a workstation with this profile will be tied to the selected Location.

Steps #

  1. Open the Location Mapping Settings dropdown
  2. Select the desired QuickBooks Location
  3. Save your changes

Configure Class Mapping #

Under the dropdown for Class Mapping Settings:

Control how classes are mapped to your sales. All transactions created from a workstation with this profile will be tied to the selected class.

Steps #

  1. Open the Class Mapping Settings dropdown
  2. Select the desired QuickBooks Class
  3. Save your changes

Final Step #

After selecting your Location and/or Class mappings:

  1. Click Save
  2. The workstation profile is now configured
  3. Future sales transactions created from workstations using this profile will sync with the assigned Location and/or Class automatically
